Confidentiality & Conflict of Interest
Applicants often share buyer requirements, internal procedures, customer records, and security or quality evidence. AQX handles that information with controlled access and conflict awareness.
Clear rules for applicants, certificate holders, buyers, and relying parties.
These pages are written to support practical use: what AQX expects, what the holder may claim, how concerns are handled, and what information should be sent when clarification is needed.
Controlled access
Client evidence is used for the relevant application, review, support, or certificate record activity and should only be accessed by assigned personnel.
Sensitive records
Security, privacy, customer, supplier, personnel, and operational records are treated as confidential unless disclosure is required by the applicant, buyer process, or law.
Conflict declaration
Reviewers and support personnel should disclose relationships or interests that could reasonably affect their work on a file.
Limited publication
Public certificate records should show only appropriate holder, scope, date, route, and status information unless the holder authorizes additional publication.
How AQX handles this governance topic.
Receive
Collect only the evidence needed for the stated review or support purpose.
Classify
Limit access to assigned AQX personnel or approved partners where applicable.
Review
Review conflicts before assigning sensitive or decision-related work.
Respond
Use public records carefully so confidential evidence is not exposed.
Important note
Applicants should remove unnecessary personal data from evidence when possible and avoid sending unrelated confidential material.
For certificate-specific questions, include the holder name, certificate ID, scope wording, and the reason the record is being reviewed.
